Automation of business workflow processes

Coimbatore , Sept. 25

The Madhya Pradesh Transport Department (MPTD) has, with the help of Newgen Software Technologies, automated its business workflow processes. The project, which was implemented on a pilot basis in Bhopal, is to be replicated across its 45 road transport offices in the State, according to Mr Punit Jain, Vice-President (Sales and Marketing), Newgen.

Two processes — Vehicle Registration Certificate Issuance and Permit Issuance — were rolled out in the pilot phase. The implementation of two other processes — renewal of registration certificate and transfer of ownership — were completed in May. Some are still under way. MPTD is the State's largest revenue earning department. It deals with various transport-related activities such as issue and renewal of driving licence, registration of vehicles, grant and renewal of permits and other regulatory functions.

Consequent to the sharp rise in the number of vehicles brought in for registration, coupled with an equally huge number of applications for license issuance, the department officials had a tough time in managing the processes manually.

MPTD was using a system developed by Smart Chip Ltd (SCL) to issue smart cards to the citizens. This system helped capture and edit data at the enrollment stage and personalise with signatures of the authority before issuance of the card.

The Newgen solution, Mr Jain explained integrated the SCL system with OmniFlow, OmniDocs and OmniCapture to develop the required workflow automation. or tracking particular documents/application, reduction in average processing time, especially in issuance of vehicle license encouraged them to adopt it.
