Plain text in Outlook

We use the MS Exchange 2003 mailing system, with Web access for almost all clients. A few selected clients have been configured to use MS Outlook. In those clients, if any mail is received with a report in table format or some picture or formatting is present in the body of the mail, it is not received as it is. If we use webmail and check the mail, then it appears right. But when it is downloaded in MS Outlook 2003 to the client and viewed, only plain texts are visible. Without format it is not meaningful at all. Please note that we have installed SP2 too. Almost all hot fixes are also installed. Why is this happening? Please suggest a solution.

The Microsoft Office Outlook 2003 email client has this feature "Auto Remove Line Breaks" which is enabled by default. If you create a new plain text formatted post containing line breaks, then Outlook removes the line breaks and displays the message.

The messages do not display any indication that this has occurred, other than the change in formatting. That is why you have noticed formatting problems in plain text format.

To solve this problem, there are a few workarounds.

The first method is "Disable the feature that removes extra line breaks". This disables the feature for all plain text items. To do this, please open Outlook 2003 client and click Tools - Options. On the "Preferences" tab, click the "E-mail Options" button. Click to clear (uncheck) the "Remove extra line breaks in Plain text messages" check box option and click ok.

The second workaround is "Use HTML or Rich Text format instead of Plain text format". You can use HTML or Rich Text formats when you create new items or you can change existing post to these formats.

For new posts, you can change the format for individual messages, or for all messages. To change the format for all messages, please open Outlook and click Tools - Options - "Mail Format" tab. Select either HTML or "Rich Text" in the Message Format section and click ok.

When you create a post item you can change the format for an individual message. To do this, please open Outlook 2003 and click File - New - "Post in This Folder". Click Plain Text and then click HTML or Rich Text.

For existing post, open the post item, click Edit - "Revise Contents" before you change the format.

The third workaround is "Restore the line breaks in Outlook 2003". This method allows you to restore the line breaks that were removed. To do this, please open Outlook and open the post item. Click Format and click to clear (uncheck) the "Unwrap Text" check box.
